- Description: Turn a Utrecht conditional offer into a document plan: verifiable PDFs, registrar delivery, translations and separate acceptance and admission checks.

A scan that helped Utrecht University assess your application may not be enough to clear your final document condition. After a conditional master's offer, identify which evidence the university needs, which route can verify it, who must send it and when it must arrive. Accepting the offer and meeting its conditions are separate steps.

This guide concerns Utrecht University master's applicants using its published international admissions process. Sources were checked on 26 October 2026\. Your own offer letter and programme instructions matter; the workflow below does not assess whether your degree meets academic entry requirements.

## First separate your offer status from your evidence status

Utrecht's [after-you-apply guidance](https://www.uu.nl/en/masters/general-information/application-and-admission/after-you-apply?ref=peridot.works) says you can accept a conditional offer before meeting all its conditions. Acceptance reserves a place and enables relevant enrolment communications. It does not turn outstanding academic evidence into verified evidence.

Use two separate lines in your planning record: offer accepted, and admission conditions cleared. Add a third line for official enrolment. If a visa or residence permit is needed, Utrecht says its Visa Office contacts applicants after offer acceptance. That contact is another process step, not proof that every admission or immigration requirement has been satisfied.

Read the offer letter, accompanying email and attachments together before choosing a document service. A useful general starting point is our [master's offer conditions checklist](https://www.peridot.works/masters-offer-conditions-checklist/); the Utrecht-specific distinction here is how the evidence reaches the university with verifiable authenticity.

## Choose a route based on the document you actually have

Utrecht's [conditions guidance](https://www.uu.nl/en/masters/general-information/application-and-admission/after-you-apply/fulfilling-your-conditions-for-admission?ref=peridot.works) distinguishes digitally verifiable evidence from an ordinary PDF scan. It describes four submission routes:

- A certified digital PDF can be submitted through OSIRIS Online Application. Check that the file itself offers verifiable authenticity, rather than assuming a scanned stamp makes it a certified digital document.
- A university electronic system or independent academic verification platform can deliver documents through its secure route. Follow the destination and instructions on Utrecht's current page.
- Where certified digital documents are unavailable, plain PDFs can be accepted when sent directly by the university from its official registrar email address. Applicant forwarding is not the same delivery route.
- Certified paper copies are an alternative when digital submission is not possible. Check the permitted certifier, current postal address and delivery time before arranging them.

The important decision is not which route looks most formal. It is which accepted route your issuing institution can actually provide. Utrecht says it does not contact other universities to arrange verification on the student's behalf. Build the issuing institution's turnaround into your schedule.

## A practical evidence-routing worksheet

Make one row for each item in your letter: diploma, transcript, English report, translation or an assigned course or test. For each row, record:

- The exact condition, including the relevant qualification and document version.
- What you currently possess: ordinary scan, verifiable digital original, provisional evidence or final award.
- The accepted submission route and the person or institution responsible for sending it.
- The applicable deadline, the planned dispatch date and a separate receipt or status check.
- What remains unresolved, stated explicitly rather than marked complete because a file was uploaded.

For example, if you have only an ordinary transcript scan, do not label the row “verified digital transcript”. Ask your institution which secure or registrar-delivery route it supports. This is a planning example, not a claim about a particular applicant's admissibility.

Save evidence of submission through the permitted route. A personal “sent” record and confirmation that a condition has been cleared answer different questions. If the portal status or admissions response leaves uncertainty, clarify that specific item through the university's existing applicant channels.

## Still studying? Do not confuse anticipated and final evidence

Utrecht's conditions page provides different quick guides for non-EU/EEA applicants who have graduated, non-EU/EEA applicants still studying, and EU/EEA applicants. For a non-EU student whose diploma is due after 15 June, it describes submitting proof of anticipated degree and the most recent transcript first.

That is not a general waiver of final degree evidence. Transfer the dates and required documents applicable to your start and situation into your own worksheet, then check them against your letter. Avoid copying another applicant's deadline from a discussion thread. Our [application calendar guide](https://www.peridot.works/masters-application-calendar/) explains how to keep institution, evidence and practical deadlines separate.

## Translation is its own evidence chain

Utrecht accepts academic documents in English, Dutch, German, French and Spanish without translation. For other languages, its page describes official translations alongside certified original documents, with specific sender or signature requirements for digital delivery.

Do not assume a translated PDF forwarded by the applicant satisfies those requirements. Check the translator's accepted status, the original-document requirement and the permitted delivery method before paying for work. Translation, certification and academic equivalence are different tasks.

## Your next action

Open the current letter and create the evidence-routing worksheet before ordering certification or postage. Resolve the weakest row first: an unavailable final diploma, an unverifiable PDF, a translation route or an unclear assigned test. This turns “I accepted my place” into a concrete plan without treating acceptance, admission, enrolment or a visa as interchangeable.
